Enhancement Details

1.     Documents Uploaded to Requisition Can Be Faxed with PO (Case 1013)

Many Districts have told us they want to send quotes, coupons or bids to a vendor along with the PO so they do not mis-price items.  To support this, the Documents tab now appears right after the Summary tab to prompt requestors to first upload any documents to the requisition.  On the Vendor/Payment tab, the requester will have access to these uploaded documents so that one or more can be faxed along with the PO.  

2. Approvers can now see past PO’s that they have approved (Case 1051)

Historically, requisitions submitted for approval have only rendered in the approvers’ queue up to the point they are acted on by that approver.  As of the September release, requisitions will now stay in the approvers’ queue after action has been taken.  The approver will be able to watch the requisition throughout its lifecycle and even have access to it after all items have been received.

The status of a pending requisition in an approver’s queue is “Pending Your Approval”.

Until the final approver acts on a requisition, approvers will see a status of “Pending Others Approval”.

After the final approver acts, the requisition will continue to reside in the active queue (Mode = Active) of all approvers involved with a status of “Received”.  

After all items are received, the requisition will be moved to the historical queue (Mode=Historical) for any approver involved with a status of “Complete” or “Denied”.  

3.     Upgraded Fax Capability

k-Purchase has the ability to allow users to fax POs and related documents directly to a fax number.  We have upgraded to a new fax provider to provide faster and more reliable fax service. 

4.     Change Display of Shipping & Handling Fees After Requisition Approved

The Shipping and Handling text was displayed within a marketplace requisition even after the request is approved and items are received, which can cause some confusion insofar as the fees can change over time.  To avoid this confusion, the system will no longer display shipping and handling fees after a requisition is approved.  

5. Fix Display of Add/Edit Accounts (Blue Wrench) With Unallocated Items

This is a fix to ensure that we display the blue wrench (add/edit accounts option) is displayed with under Unallocated Items (before an account is assigned). 

6.     Receiver Roles Not Seeing Requisitions in Their Queue

k-Purchase members assigned to the Receiver role were not seeing requisitions in their Queue.  This has been resolved.

7.     Corrected Auto Assignment for Requisitions Involving a Single Account Code

Requesters with only one account were not having their marketplace requisitions auto assigned accounts as they should be. This is resolved. 

8.     Better Clarification of Required Fields

We have now added a more visible icon (triangle) for required fields to make this more visible to users.
